Welcome to uSport.ai ("uSport.ai," "we," "our," or "us"). uSport.ai is an AI-powered college sports recruiting platform that helps student-athletes discover college programs, match with appropriate athletic levels (NCAA, NAIA, NJCAA), and connect with college coaches. Our platform provides AI-driven tools to generate outreach emails, analyze coach responses, manage recruiting tasks, and streamline the college sports recruiting process. This Privacy Policy describes how we collect, use, share, and protect your personal information when you use our website, mobile applications, and services (collectively, the "Services"). By accessing or using uSport.ai, you agree to the collection and use of information as described in this Privacy Policy.

Scope: This Privacy Policy applies to visitors to our website (usport.ai), registered users (including student-athletes, parents/guardians, and coaches), users of our web and mobile applications, and users who integrate third-party services (such as Gmail or Outlook) with our platform. Certain features, particularly email integrations and third-party services, may be subject to additional terms and conditions. When you connect services like Gmail or Microsoft Outlook to uSport.ai, you will be presented with additional consent screens and terms governing those specific integrations.

This section provides an overview of our Services and reiterates that by using uSport.ai you consent to the practices described in this Privacy Policy. If you do not agree with our policies and practices, please do not use the Services.

2. Information We Collect

2.1 Information You Provide to Us

When you create an account, use our Services, or communicate with us, you may provide personal information, including:

  • User role (student-athlete, parent/guardian, or coach)
  • Profile photo or avatar
  • Date of birth or graduation year
  • Contact preferences

Athletic Profile Information

  • Sport(s) and position(s)
  • Athletic statistics, performance records, personal bests
  • Physical attributes (e.g., height, weight), if you choose to provide them
  • Academic information (GPA, test scores, intended major)
  • Graduation year and high school or club team information
  • Links to highlight videos, game footage, or athletic portfolios
  • Awards, honors, and achievements

Recruiting Activity Data

  • Schools and programs you save, favorite, or express interest in
  • Coaches you contact or messages you draft/send
  • Notes, tasks, and recruiting timelines you create
  • Documents you upload (transcripts, eligibility documentation, etc.)

Payment Information

Billing details and payment method information are processed securely through third-party payment processors. We also retain subscription plan and purchase history details.

Communications

We collect messages you send to our support team, feedback and survey responses, testimonials, and communications through in-app messaging features.

Device and Usage Data

We collect technical information such as IP address, general location (city/region level), device type, operating system, browser type, pages viewed, features used, actions taken within the platform, session duration, timestamps, navigation paths, and referring/exit pages.

Performance and Diagnostic Data

Email Integration (Gmail/Outlook)

When you connect your Gmail or Microsoft Outlook account, we limit our use of email data to recruiting features: sending emails on your behalf to college coaches, reading and managing recruiting-related emails, accessing relevant threads, and organizing recruiting emails. We do not use your email data for advertising purposes or to build unrelated user profiles. See Section 6 for details on Gmail Limited Use compliance.

Coach and Contact Databases

We maintain databases of college coach contact information sourced from publicly available information.

Publicly Available Information

We may collect athletic results, team rosters, and information you make publicly available on social media (only if you provide links).

Third-Party Services

We may receive information from analytics providers, identity verification services, payment processors, and similar service partners.

2.4 Children Under 13

uSport.ai is not intended for children under 13, and we do not knowingly collect personal information from children under 13 without verifiable parental consent. Parents or guardians must manage accounts for children under 13. Parents have the right to review, modify, or delete their child’s information and should contact us at admin@usport.ai for assistance.

3. How We Use Your Information

We use the information we collect to:

  • Provide and maintain the Services, including account creation, authentication, communication, and support
  • Personalize your experience with matched programs, recommendations, and saved preferences
  • Enable AI-powered features such as outreach email generation, coach response analysis, and recruiting task suggestions
  • Communicate with you about updates, recruiting guidance, billing, and support inquiries
  • Monitor, analyze, and improve our Services, conduct research, and develop new features
  • Ensure safety and security, detect fraud, enforce policies, and protect against unauthorized access
  • Comply with legal obligations, respond to lawful requests, and maintain records for accounting and tax purposes

AI and Machine Learning: We de-identify data where possible when improving AI models. Personal information is typically removed before training or analytics. We do not feed individual email content directly into model training; we may extract de-identified patterns. Your personal data (including emails) is deleted upon your request or account deletion. De-identified insights and AI model parameters remain our proprietary information.

4. Legal Bases for Processing (EU/EEA/UK Users)

For users located in the EU, EEA, or UK, we process personal data based on performance of a contract, legitimate interests, consent, and legal obligations. You may withdraw consent or object to processing at any time, subject to applicable law.

5. How We Share Your Information

We do not sell your personal information. We may share information with:

  • College coaches and athletic programs when you choose to contact them or share your profile

We do not provide broad access to your email inbox, use email communications for advertising, or share your data with advertisers or data brokers.

6. Google API Services and Gmail Limited Use

6.1 Gmail Integration Purpose

When you connect Gmail, we access data solely to deliver recruiting features: drafting and sending emails to coaches, tracking conversations, organizing recruiting emails, analyzing coach responses with your permission, and syncing email activity.

6.2 Limited Use Requirements

Our use of Google API data complies with the Google API Services User Data Policy, including Limited Use requirements. We do not use Gmail data for advertising, unrelated product development, or unrestricted human access. We only request minimum scopes, limit sharing, and access Gmail data solely to provide requested features, enhance security, prevent abuse, or comply with law.

6.3 Your Gmail Data Rights

You can revoke Gmail access at any time via account settings or https://myaccount.google.com/permissions. When disconnected, we stop accessing Gmail data and delete cached content within 30 days, retaining only necessary metadata unless you request full deletion.

6.4 Security of Gmail Data

Gmail data is protected with TLS encryption in transit, AES-256 encryption at rest, strict access controls, secure OAuth 2.0 authentication, and regular security audits. Contact admin@usport.ai with questions.

7. Cookies and Tracking Technologies

We use cookies to recognize you, remember preferences, and understand platform usage.

7.2 Managing Cookies

You can control cookies through browser settings. Blocking essential cookies may impact platform functionality. To opt out of Google Analytics, install the Google Analytics Opt-out Browser Add-on. Mobile devices offer settings to limit ad tracking.

8. Data Retention

We retain personal information as long as necessary to provide Services, comply with law, resolve disputes, and enforce agreements.

  • Active accounts: Retain account, athletic, recruiting, communication, and usage data.
  • Inactive accounts: Data may be retained for up to 24 months of inactivity before anonymization or deletion.
  • Deleted accounts: Personal data is deleted or de-identified within 30 days; backups may persist for up to 90 days. Legal or security needs may require longer retention.

AI-generated email content is retained while the account is active and deleted within 30 days of account deletion. We may keep de-identified insights.

8.1 Extended Retention for Specific Purposes

We may retain information beyond deletion for legal compliance (e.g., financial records for seven years), security and fraud prevention, or business records (aggregated analytics indefinitely, support communications for three years, backups for 90 days).

8.2 Requesting Deletion

Delete your account via Settings > Privacy > Delete My Account, or email admin@usport.ai. Deletion is permanent. We cannot delete information already shared with coaches. Some data may persist in backups for up to 90 days.

9. Data Security

We implement industry-standard security measures, including TLS 1.2+ encryption in transit, AES-256 encryption at rest, role-based access controls, secure development practices, vulnerability scanning, penetration testing, continuous monitoring, SOC 2 Type II compliant hosting, and documented incident response procedures.

Your role in security: Use strong unique passwords, enable two-factor authentication, log out on shared devices, beware of phishing attempts, and report suspicious activity immediately. Despite best efforts, no security system is infallible. We will notify you of breaches as required by law.

Report security issues to admin@usport.ai. Do not publicly disclose vulnerabilities before we address them.

10. International Data Transfers

uSport.ai is based in the United States. Your data may be transferred to, stored in, or processed in the U.S. or other countries where our providers operate. For EU/EEA/UK users, we rely on Standard Contractual Clauses and supplementary measures (encryption, access controls, audits) when transferring data outside your region. You may request details about international transfers by contacting admin@usport.ai.

11. Your Rights and Choices

11.1 Access and Correction

Access and update most information via your account dashboard or contact admin@usport.ai for additional requests.

11.2 Deletion

Request deletion through account settings or by emailing admin@usport.ai. Deletion is subject to legal or contractual obligations.

11.3 Marketing and Email Integration

Opt out of marketing emails via the unsubscribe link or by contacting us. Essential service emails will continue. Disconnect Gmail or Outlook integrations at any time through your account or provider settings.

11.4 Additional Rights for EU/EEA/UK Users

You may object to processing based on legitimate interests, restrict processing, withdraw consent, and lodge complaints with your data protection authority.

11.5 Additional Rights for California Users

California residents have rights under CCPA/CPRA, including the right to know, delete, opt out of sale or sharing (we do not sell/share personal information), correct information, and freedom from discrimination for exercising privacy rights. We honor Global Privacy Control (GPC) signals where required.

11.6 How to Exercise Your Rights

Submit requests via account settings or email admin@usport.ai with your name, email, and specific request. We respond within 30 days (or as required by law) and may request identity verification.

Our Services may include links to third-party websites or integrations not controlled by uSport.ai. Their privacy practices are governed by their own policies. Key integrations include Google/Gmail and Microsoft/Outlook. Disconnect third-party services at any time. Report problematic links to admin@usport.ai.

We may update this Privacy Policy to reflect new features, legal requirements, or feedback. Minor changes will update the "Last Updated" date. Material changes will include prominent notice (email, in-app banners, or acknowledgement requirement) at least 30 days before taking effect. Continued use after changes indicates acceptance. Material changes to Gmail or email integration practices will include explicit notice and compliance with Google API requirements.
